Time: 6:30 p.m.
Location: Mike and Jill Nunno's house
250 Squire Canyon Road, SLO

An invitational flyer with more details will be sent to all members.
(The date of 12/10/2005 was discussed at the meeting,

had a prior commitment on that date.)

Meeting
Date: Tuesday, 11/8/2005
Time: 6:30 p.m.

This evening Jeff officially resigned as President, and Hugh resigned as Vice President. Hugh noted Jeff’s accomplishments as President over the last 6 or 7 years, and presented Jeff with a picture in appreciation of all his efforts.

The club voted to install new board members:
President: Mike Shandroff
Mike says his priorities are 1) have fun; 2) safety; 3) be competitive.
Vice President: Brian LaCabe

The following positions are retained from the past year:
Treasurer: Tifnie LaCabe
Secretary (non-board member): Dara Manker

A proposal was made to make the following change to the by-laws:
increase the number of board members from three
(President, VP, Treasurer) to fourteen.  The club members who attended the meeting voted to approve this proposal.

New Board positions:

Past President:

Jeff Blauer

Women’s Coach:

Jill Urqhart

Men’s Coach:

Greg Foster

Youth Coach:

Jeff Blauer

Membership Coordinator:

Laurel Dunning (Susie Bland/ Justin Crawford will assist)

Equipment Coordinator:

Scott Bixler

Transportation Coordinator:

Denny Thatcher

Information Coordinator:

Justin Crawford

SCORA Director:

Denise Shandroff

SCORA Alternate Director:

Joanne Richards

Event Coordinator:

Dave Van Mouwerik

A proposal was made that we have two meetings a year in which we can make changes to the by-laws, and that we require a quorum at those meetings to pass the changes.  The club members present at the meeting voted to approve this proposal.

A proposal was made to buy covers for the canoes.   The club members present at the meeting voted to approve this proposal.

A proposal was made to make a bid for the 2007 State Champs to be hosted by our club and to be held here in Avila.   The club members present at the meeting voted to approve this proposal.

The club decided not to allow electronic voting because an issue tends to change as we discuss them at meetings, and therefore the person who voted electronically would not know about these changes when the vote finally took place.

Comments that at another meeting we need to discuss issues about not allowing people to paddle without signed waivers (old waivers expire in March) or who have not paid dues.

Canoe site is County property.  Jeff says to be conscientious about keeping the site clean.

We're about 2 weeks out from moving a canoe to Morro Bay.  We may move another clipper if the need is there.

"Noodle" canoe sold for $5K and will be picked up in about a week.  Contact for the buyer will be Dara, who will send an e-mail to the club to help load the canoe.  We’ll eventually buy an OC-6 with this money. We're waiting for SCORA members must vote on the requirement that Masters+ must race in Bradleys.  A hand vote of club members at the meeting shows we support getting rid of this rule, and Denise will vote for us at the next SCORA meeting.

Hoiliday Party is at Mike Nunno's house on the evening of Friday, December 9th at 6:30 p.m. (we discussed Saturday Dec. 10th at the meeting, but Mike found he had a prior commitment). He'll send out a flyer to club members with the details. Details will also be posted here once the flyer has been received.

After thinking in depth about running for the president position of the club, it has become very obvious just how much our past presidents have had to deal with to keep things running. Jeff plays it down, but there is a lot to keeping this train on track, so that we can all enjoy it as much as we do. In it's present form, I've realized there is no way I'd have the time to run Pale Kai as it should be run. If there is someone out there who has the time and is planning on running, more power to you and you can count on me for support. But, as I have spoken to most people in the club about this issue over the past few weeks, everyone seems to be in the same boat: we want to support the club but can not take on the official responsibilities of the job.

So, after studying our bylaws and SCORA's bylaws and structure, I'm going to propose some changes at the Tuesday meeting which could alter the way we run Pale Kai. The idea is that we spread out the responsibilities, which could lead to more participation and a more active club. I wanted to get this out to as many fellow paddlers as possible before the meeting. This way everyone has some time to think it over, and think about where you might like to lend a hand as a board member or working within a certain area with a board member.

A larger board for Pale Kai

President - run meetings, propose and implement policy, resolve board disputes, club contact person/ liason with other clubs, site coordinator/contact.

Vice President - step in for president when she/he is not able to attend, oversee all club safety efforts.

Secretary (Dara) - minutes at meetings, minutes record keeping, web-site, member's proposals of policy and bylaw changes to board.

Treasurer CFO (Tiffany) - banking, accounting, book-keeping, dues, reimbursements, taxes, insurance, etc.

Women's Coach (Jill) - coordinate womens crews and steerswomen, education/clinics.

Men's Coach - coordinate mens crews and steersmen, education/clinics.

Youth & Novice Coach (Jeff) - coordinate crews and steerspersons, education/clinics, funding.

Membership Coordinator - records of members, welcome packets for new members (Pale Kai & SCORA waivers, releases, safety handouts, Outrigging history & culture, instuctional info), recruiting & outreach.

Equipment Coordinator - Boat repair & maintenance, paddles, PFSs, ropes, rubbers, shims, bungees, race kits, etc., site clean-up, research and recommend canoe & accessory purchase and sales.

Transportation Coordinator - coordinate & train drivers, maintain contacts with rental agencies, develop policy on reimbersement/ perdiem for drivers, trailer inspection & coordinate trailer maintenance and repairs.

Information Coordinator - works with secretary & membership coordinator, send email and setup phone tree for inner-club memos, press releases, media coverage, photography and marketing.

SCORA Director (Denise), SCORA Alternate (Joanne) - attend all SCORA meetings, report back to board, coordinate race jerseys & club apparel.

Event Coordinator - fundraisers, community service programs, road clean-up days, club banners & EZ ups for races, ultimate goal is the return of the Pinepple Express as a SCORA race at Avila.

I've had a lot of input and positive reaction to the concept so far, and a few people have said they would step-up for different positions. I'm sure people will have more ideas to add, or see things we have missed. Please let me know what you think. If the club does decide to go this route at Tuesday's meeting, I'll be running for President. So take a few minutes to think it over, and please come to the yacht club on Tuesday at 6:30 pm. We need everyone there to participate and keep Pale Kai the fun, safe and competitive club that Lon, Jeff and all of you have made it.

Paddlers,
Hope all is well as we enter the off-season. This was a good year for us as we brought record teams to most races. Hopefully we all get together at our Christmas party; wherever it is, I'll keep you posted.

It ends up that our site is located on County property, not the golf course.... The only stipulation is the tent has to go. Apparently, with the tent it looks like we are a large organization. Technically, the tent was gone through wear, but we were considering replacing it. If we want to keep a new tent the permit fees will go up. So...Nunno found a guy that will make canvas covers for each canoe for about $300 each. These are the style that many clubs use and I'm fine with it. If you have an opinion on it, let me know.

The Bradley is sold and will be picked up next week. I need 6 or 8 people to help load it. The driver will call me a couple of days prior to arriving and it should be in the late afternoon. If you can potentially make it, email me and I'll contact you with details.

We need to shut down the site and prepare it for winter. Meet at the site on Sunday October 23 at 10:30. Spread the word because we need a bunch of us to get things done. Bring trash bags, cutting blades, wire cutters, and some wrenches. We need to remove the tent, disassemble the canoes, and determine repairs. We need someone with a truck to haul the canvas to the dump. Let me know ahead of time so I know who's taking it.

One canoe is going to Morro Bay (Lima). Jill is the contact and will be responsible for logistics and getting the iakos re-varnished. One canoe can stay rigged at the site for awhile if someone is interested in de rigging for winter.

Finally, we will have our final meeting of the year on Tuesday November 8 at 6:30.

If you can think of anything else, let me know. Otherwise we'll see you on that Sunday

Aloha,

Jeff
