Meeting Minutes

Before this meeting, review the race
schedule for next season and consider which races your crew can do.
Reports of Boards and Standing Committees
1. Treasurer's Report
We have $10,800 in account, most from the boat we sold. Will use this
to buy a new canoe. There was discussion about waiting for the new canoe
design (the one that won the women's Kona's race) to come out before we
buy one. Later there was a recommendation for buying future canoes from
Hawaii. Scott will research Outrigger Connection to look into buying a
mirage.
2.Insurance Report
Mike has been looking into insurance for the club. In the future, we will most likely have 4 insurance policies:
- SCORA insurance (insures us if we injure someone else, for example,
coming in through the surf). We have had this insurance in the past.
- Hull Insurance (covers boats in transport/surf, and injury to others).
Have a $250 deductible. ($1160 renewal).
- General Liability Policy- our current agent (who is also a paddler)
also has a hull insurance that might be a little cheaper. His insurance
policy will have no player vs. player exclusion (member sueing member).
- Director's & Officers: (personal liability) our current agent
will shop this around to give us the best deal for a non-profit. If
this is not affordable, Mike suggests dissolving the board and looking
into non-profit status.
Mike will organize the new waivers that must be signed once we get the new insurance. He will also keep track of which paddlers are insured and
which are not. We'll need to know this information to be aware of who
should be paddling or not.
3. Safety Report
Laurel will put together a welcome packet for new members: safety
handout, info about paddling. We have our paddling manual, and Denise has
found other info online that might be useful.
4. SCORA Report
Denise reviewed her SCORA
report Since the meeting, Votes have been re-tallied: coed can race
in any style of boat. Bradleys required for Masters/Sr. Masters/19 and
under. Sr. Masters coed eliminated due to the lack of competition. Our
club will need to set rules about who gets the bradley for practice and
on which nights.
5. Membership Report
Laurel will put together a welcome packet for new members: safety handout, info about paddling.
We have our paddling manual, and Denise has found other info online that might be useful.
If anyone is interested in helping with this, contact Laurel or Denise.
6. Coaches Reports
- Greg: Asked about crews: Mike Shandroff's crew wants to paddle together, as does Greg's crew. Dave VM is considering
a Sr. Masters crew. Greg suggests that all men paddle Tues/Thurs. Mike suggests everyone think about what they want to do,
then have a mens, women's, and coed meetings to determine what works for each group, then get together as a club to discuss.
- Jill: expects 3, possibly 4 women's crews.
- New paddlers: with 5 only canoes we will hold back on recruiting for this year. We may need a contingency plan of having novice practice Saturday, Sunday after the other crews practice, or Friday afternoon.
- Jeff: Youth Program: has money for replacing damaged paddles and rack for the OC1s. Last year 15 club paddles were broken.
Jeff will separate out the YP paddles in the future. If insurance is needed for the YP, YP will provide it.
Greg suggested borrowing a couple of canoes for the 2 weeks the YP runs.
8. Equipment Report
Scott has checked the gel coat on the boats, and there are no gaps where the cloth is coming through the resin,
but recommends we be careful about running the boats up on the beach which wears out the gel coat.
Jeff recommends waiting until the boats really need them. Gel coat doesn't add strength and may add weight.
Speculation about buying 12 more paddles. Denise recommends spray painting the adult paddles a different color than
the purple spray used for the YP. Yvette is looking in to rope. Scott mentioned that common 1/4" cotton rope might be used.
Jill mentioned a website where rope for outriggers may be purchased.
9. Event Coordinator Report
Morro Bay Lighted Boat Parade: PKO won 2nd place in the parade. Dave would like to do a double-hull next year.
January's Adopt-A-Road trash pickup by 8 members in the club was a success. Dave stressed that it is important for PKO to be a good neighbor in the community.
Denny stated that he liked the race the novice crew put on at the beginning of the season, that we should do another one at the start of every season, and that a double-hull would be fun.
Kick-off meeting will happen in March, with the party being on the weekend after the meeting.
Dave will put together a calendar for the club that includes Northern and Southern CA races, PKO events, etc.
10. Information Report
Justin asked anyone who wants information to get out to the club to let him know, and he will send e-mail.
He also has a new waterproof camera and will be taking more photos this coming season.
11. Transportaion Report
May schedule truck rentals in advance since we know the race date. Find a place that rents still rents trucks
(SLO United Rentals may still do this). Need list of potential drivers. Should take trailer to American Trailer
to check the bearings. Needs new padding. Scott says everything else on it looks good.

Reports of Special (Select) Committees
1. Site Permit
Mike paid for a 1 year permit, renewable in November, although the county has a 30-day notice provision.
The county will be extending the bike path to the gate we use. (There are also plans for a stop light to
be put in on Avila Beach Drive.)
The club will contact Rob Rossi about where we might be able to move the canoes when this happens.
2. Sponsorships
John Secunda will work on developing a package we can provide to potential
sponsors. Avila Bay Club may want to work with the club.
3. Web Site Report
We have a new web site design. Denise circulated the contact list, and the latest contact information will be posted soon.
Unfinished Business and General Orders
Board
Board members responsibilities will last for 2 years.
New Business
1. Bylaws Committee
We need to update our bylaws. Mike S. will give Dara a hard copy, Dara will clean it up and present it back to the board for approval.
2. Dues
Discussion of if we should raise dues to $300 to help cover costs for insurance.
With insurance, members will be covered if injured in a boat, an added benefit that we do not have at the moment.
The club will put together a budget: board members will send projected expenses to Tifnie, then determine at the next meeting
whether or not the club should raise dues based on the result. Discussion of whether or not we should have a discounted student fee, and what
we should do about informal discounts. Consensus was that we should have one flat fee, and discuss one-offs as they arise.
3. Name for the Mirage
Think of names: will discuss at next meeting. Mike S. suggests a name related to the local area.
4. Club Logo
We'll go back to the design phase on this one. The current graphic on the website could be underconsideration. Greg's brother may be interested in designing a logo.
5. Pineapple Express
Several options: should the club bid on getting a race spot in SCORA? SCORA has discouraged this. Bid is due Feb. 25th
Should we contact other clubs about sponsoring one of their races one year?
Dave mentioned that in the past, other clubs have not seemed very interested in this option.
SCORA suggested a long ironman between Kona and Molokai. Our club's experience has been that not many clubs show up for an off-season ironman race.
Should we discuss a charity race, corporate challenge, or an invitational?
- A charity race would gain funds for the club and the charity.
- Corporate Challenge: 4 people per company pay $250 each. Club provides a steersman and a stroker, work with the people, race at the end of the day.
- Invitational: the club invites specific other clubs. Several people were interested in this option. Dave mentioned that insurance may be an issue since it's not a SCORA- sanctioned event. Dave will investigate.
